Terms and conditions

The agreement, in plain English

This covers the website build and the monthly plan described in the Sunset Grove proposal. It is written to be read, not to be survived. If any part of it is unclear, ask before you pay, and we will rewrite the part that was unclear.

Effective August 3, 2026. Applies between SwarmSystem, a Day by Day Digital company, and the owner of Sunset Grove.

1. What you are buying

A website build for $3,000, and optionally one of the monthly plans described in the proposal. The build scope is what the proposal lists. If you want something outside that list, we will quote it before we do it, never after.

2. What you pay and when

Picking a lane at checkout tells us which direction to build toward. It is not a commitment to that lane. At launch you can move up, move down, or take none of them.

3. The deposit

Refundable in full until we start work. We will email you the day we start, so you always know which side of that line you are on. After work begins the deposit covers the hours already spent, and we will show you what those were.

4. The monthly plan is not a contract

Month to month. Cancel with 14 days notice, in writing, to hello@swarmsystem.com. No minimum term, no early termination fee, no clawback on work already delivered. If we are not earning it, you should leave, and we would rather you did than stayed unhappy.

5. What you own

All of it. The domain sits in your registrar account. The site files, the written content, the images we produce, and the analytics accounts are all in your name. If you leave, we hand you the full site files and a one page moving guide. We do not hold your assets to keep your business.

6. Your data and the shared system

This one matters, so it gets its own section rather than a line in the small print.

Working with us means your performance data feeds a shared system, and that system feeds you back.

We look at what happens across every site we run. Which page layouts produce more bookings. Which headlines get read and which get skipped. Where a booking path loses people. Which search terms turn into money and which only turn into traffic. All of it is stripped of anything that identifies you or your guests before it goes anywhere.

What never enters the shared system: your business name, your address, your contact details, your revenue figures, your booking records, your rates, and any guest information of any kind. What is left is pattern data. A page shape worked. A headline did not. A form with three fields beat a form with seven.

That pooled pattern is why we can tell you what converts in your market without charging you to discover it the slow way. You get the benefit of what every other client's site has already learned. They get the benefit of yours. Nobody sees anybody's business.

This is part of working with us and it is not optional. The shared learning is what the pricing is built on. If it is not acceptable to you, say so before you pay the deposit and we will part on good terms with nothing owed.

7. What we do not do

8. Changes and revisions

Two rounds of revisions are included on the build. Beyond that, further changes are quoted at $100 an hour and we quote before we start, never after. On the monthly plans, the pages and posts for each month are yours to approve before they publish.

9. Confidentiality

What you tell us about your business stays between us. Your numbers, your margins, your property manager arrangement, and your booking history are yours. We do not name you as a client publicly without asking you first.

10. Timeline

Three weeks from the day the domain is purchased, assuming the items in the proposal's checklist arrive. If something we need is late, we tell you the same week rather than at the end. The one item outside your control is Hospitable access from your property manager, and the site launches on time either way, with the calendar dropping in when access lands.

11. If something goes wrong

Tell us. hello@swarmsystem.com. We would rather fix it than argue about it. If it cannot be fixed, the cancellation terms in section 4 apply and we will not make leaving difficult. These terms are governed by the laws of the State of Texas.

12. Accepting these terms

Typing your name at checkout and paying the deposit accepts these terms, and your receipt is the record. If you want a countersigned copy for your files, ask and we will send one for signature at no charge.
