What we collect, and what we never touch

Short version: we collect what we need to build and run your site, we anonymize the performance patterns so every client learns from every other client, and we never touch your guests' personal information.

What we collect from you

What we do with it

Build your site, run your monthly plan, report to you honestly about what is working, and decide what to build next month based on what actually happened rather than what we assumed.

Anonymized performance data and the shared system

Your site's performance patterns feed a shared system that every SwarmSystem client benefits from, including you. This mirrors section 6 of the terms and conditions and it is stated in both places on purpose.

We study what works across all the sites we run: page layouts, headline patterns, booking path drop off points, and which kinds of search terms turn into real enquiries. Everything is stripped of identifying detail before it enters that system.

Excluded entirely, always: your business name and address, your revenue and rates, your booking records, your contact details, and every piece of guest information without exception. Guest names, guest emails, guest phone numbers, guest stay dates and guest payment details never enter the shared system in any form, identified or not.

What remains is pattern only. It cannot be traced back to you and it is not sold, licensed, or shared with anyone outside SwarmSystem. It exists so that the next client's site starts from what yours already learned, and so yours starts from what theirs learned.

This is a condition of the engagement rather than a setting you can switch off, because the shared learning is what the pricing is built on. If that does not work for you, tell us before you pay the deposit.

Who else touches your data

Only the services required to run the work, and only the part each one needs:

We do not sell your data. We do not rent it. We do not hand it to advertisers or data brokers. There is no version of this where your information becomes somebody else's product.

Your guests

Your welcome guide contains the unit address, the entry procedure, the wifi password and a personal mobile number. Our copy is locked so none of it can reach a public page. If your site later collects guest enquiries, that data belongs to you, sits in your accounts, and is not used for anything other than answering the guest.

How long we keep it

For as long as we are working together, plus 12 months afterwards for records and tax purposes. Ask us to delete your files sooner and we will, except where we are legally required to keep billing records. Anonymized pattern data, having no identifying detail left in it, is not reversible and stays in the shared system.

Changes to this policy

If we change it, we email you. We do not quietly update a page and call that notice.
